SQUAD CANDIDATE PRIVACY NOTICE
Effective October 22, 2026
Who we are
Squad (Volar Labs, Inc., 19 West 24th Street, New York, NY 10010) helps companies hire by working with a network of independent recruiters. This notice explains how we handle your information when a recruiter submits you to Squad. Questions? Email privacy@squadtalent.xyz.
Where your information comes from
From the recruiter who submitted you, from you, from public professional profiles such as LinkedIn, and from the identity and fraud-prevention services described below. Recruiters who work with Squad agree to get your permission before submitting you, and to get your agreement before recording a call with you.
What we collect
Contact details: name, email address, and phone number.
Professional information: résumé, LinkedIn profile, work history, education, skills, location, salary expectations, and work authorization if you share it.
Recruiter notes and recordings: notes from your recruiter’s screening call and, if you agreed with your recruiter, a recording of that call.
Calls with Squad: if you speak with our team on a video call (for example, on Zoom), we may record and transcribe it with your agreement. We’ll tell you at the start of the call, and you can ask us not to record.
Verification results: the results of checks on your identity and contact details.
Communications: messages between you, your recruiter, and Squad.
Please don’t send us information about your health, religion, race or ethnicity, sexual orientation, or government ID numbers. We don’t need it.
How we use it
To consider you for the role you were submitted for and, if you look like a strong fit, for other open roles. We won’t send your profile to another company unless you say yes.
To share your profile with a hiring company for a role you’ve agreed to.
To verify your identity and contact details, and to protect candidates, hiring companies, and Squad from hiring fraud.
To communicate with you and your recruiter, run and improve our service, and meet legal obligations.
Automated tools and human review
We use automated tools, including AI, throughout our process. They match candidates to open roles, compare your experience, skills, and education with a role’s requirements, check your identity and contact details with fraud-prevention services, and route your profile to the right member of our team. Our reviewers make the decisions: the tools aren’t given more weight than our reviewers, they can’t override them, and a person reviews before we decide whether to share your profile with a hiring company or not to move you forward. If a check raises a question, we’ll ask you to confirm your identity, by email or through your recruiter. We don’t use facial recognition or voice analysis.
Fair treatment
We don’t screen candidates on age or any other characteristic protected by law, and we don’t act on a request from a hiring company to do so.
Who we share it with
Hiring companies, for roles you’ve agreed to, including a recording or summary of your screening call, if you agreed to that with your recruiter.
The recruiter who submitted you.
Service providers that help us run Squad, including identity and fraud-prevention services (such as Tofu and the data providers it uses), cloud hosting, email and messaging tools (such as Slack), and call recording and transcription tools.
Authorities or others when the law requires it, to protect rights and safety, or as part of a merger or sale of our business.
We do not sell your personal information or share it for cross-context behavioral advertising.
How long we keep it
We keep your information only as long as we need it for the purposes in this notice, based on these criteria:
Your candidate profile: while you’re active with Squad, and for as long as you may reasonably be a fit for open or future roles. We regularly review inactive profiles and delete or anonymize those we no longer need, or sooner if you ask.
Verification results: as long as needed to complete verification and handle any review or dispute about it.
Call recordings: as long as needed for the hiring process for that role and to answer any questions about it.
If you’re hired: as long as needed for our agreements with the hiring company and your recruiter, and to meet tax, accounting, and legal obligations.
Records of your permissions and our decisions: as long as needed to show how we handled your information and to resolve any question or dispute about it.
We may keep information longer if the law requires it, or to establish or defend a legal claim. When we no longer need it, we delete or anonymize it.
Your rights
Depending on where you live, including California, the EU, and the UK, you may have the right to know what we hold about you, get a copy, correct it, delete it, object to or limit how we use it, and ask a person to review a decision made with automated tools. To make a request, email privacy@squadtalent.xyz. We may need to confirm your identity first. When you ask us to delete your information, we’ll also instruct our service providers to delete it, and ask the recruiter who submitted you to delete what we sent them; some service providers may keep limited information where the law allows, such as to prevent fraud. You can use an authorized agent where the law allows. We won’t treat you differently for using your rights.
If you don’t agree
If you’d rather Squad not use your information, reply to any email from us or write to privacy@squadtalent.xyz. We’ll withdraw you from consideration and delete your information, except limited information the law requires or allows us to keep, such as to prevent fraud or handle a legal claim, and we’ll let your recruiter know you asked to be withdrawn and ask them to delete what we sent them about you. If you’re happy to continue but don’t want our automated tools used, tell us: we can confirm your identity through a short call with our team instead, and have a person review your profile without our AI assessment. If we weren’t able to confirm your identity and you think that’s wrong, ask for a review. A different member of our team will look at it within 5 business days.
If you’re in the EU or UK
Squad is the controller of your information. We use it based on our legitimate interests in matching candidates with roles and preventing hiring fraud, and to take steps at your request before you’re hired. You can object at any time. We transfer information to the United States and other countries using safeguards such as the EU Standard Contractual Clauses and the UK Addendum. You can also complain to your local data protection authority. [EU/UK representative, if appointed: name and contact.]
